We are seeking a dedicated and proactive Project Assistant to join our team. This role is pivotal in supporting the project management team, ensuring efficiency, quality, and cost awareness in all functions. The position requires a global outlook with a focus on regulatory responsibilities and operational excellence.

Key Responsibilities:

Administrative Support:

  • Manage calendars, arrange travel plans, and onboard new team members.
  • Provide support for PO creation and documentation control.
  • Schedule and organize meetings, events, and business trips.
  • Ensure adherence to policies for travel and team events.
  • Handle logistics for meetings, including offsite locations and technical support.

Project Coordination:

  • Act as a "barometer" for team issues, keeping the team updated.
  • Build relationships and manage special projects for team success.
  • Prioritize tasks, handle deadlines proactively, and support project coordination.
  • Utilize tools like SharePoint and Teams for communication and document management.
  • Prepare meeting agendas and support the creation of project presentations.

What are we looking for?

  • Minimum 5 years of experience as a PROJECT ASSISTANT
  • Strong planning, organizational, and communication skills.
  • Ability to work independently and collaboratively in multinational teams.
  • Proficiency in Microsoft Office Suite and adaptability to new systems.
  • Excellent planning and organizational skills.
  • Effective communication and relationship-building.
  • Proficiency in Microsoft Office Suite (Word, PowerPoint, Excel, Outlook, SharePoint, Teams).
  • Diplomatic, team-spirited, and proactive in recognizing and resolving potential issues.
  • Fluency in French and English
