We are seeking a highly organized and efficient Business Management Assistant for our IT department. This role provides specialized administrative support for business processes, projects, and related activities. The ideal candidate will have strong organizational skills, the ability to prioritize tasks and meet deadlines, and a focus on quality, accuracy, and cost efficiency. This role involves liaising between various internal and external stakeholders.

Major Accountabilities

  • Administration, Communication & Organization:
    • Independently provide administrative assistance for business processes and projects.
    • Manage project communications and travel arrangements.
    • Organize team/department events and take minutes during meetings.
    • Handle tasks like catering orders and managing mobile expenses.
  • Financial Management:
    • Create purchase orders and manage the IT team's budget (Opex – Capex).
    • Interface between the IT Finance controller and the IT Leadership Team.
    • Analyze Opex/Capex monthly reports and manage accruals.
    • Maintain Opex/Capex dashboards and report to the IT controller and IT Leadership.
    • Follow up on vendor invoices.

    What are we looking for?

    • Advanced ICT skills, proficient in software applications, databases, content management systems, and standard office tools (Word, Excel, PowerPoint, Outlook). Knowledge of SAP is a plus.
    • Excellent planning and organizational skills, with the ability to deliver independently.
    • Strong interest in financial matters
    • Supports teamwork and cooperation, involves and coaches others.
    • Builds sustainable relationships with internal and external stakeholders.
    • Experienced in working in a fast-changing environment and dealing with ambiguity.
    • Handles confidential and sensitive matters appropriately.
    • Manages multiple diverse projects simultaneously.
    • Proficient in English (Dutch and/or French is a plus).
