We’re looking for an Administrative Assistant to support the Partner Management Office with day-to-day coordination, reporting, and documentation.

You’ll assist the Partner Managers with report preparation, SharePoint maintenance, and order processing, ensuring smooth operations and accurate follow-up of internal activities.

This role is hands-on and execution-focused — ideal for someone who enjoys structure, precision, and contributing to a supportive, collaborative team environment. 

What You’ll Do

  • Prepare and update reports and dashboards on partner activities.
  • Maintain and monitor SharePoint sites for up-to-date and secure documentation.
  • Launch and track purchase orders and related administrative workflows.
  • Support the creation of PowerPoint presentations and internal communications.
  • Perform general administrative and coordination tasks to assist Partner Managers.
  • Help ensure accurate data and timely follow-up on all ongoing activities.

What are we looking for?

  • Bachelor’s degree or equivalent experience.
  • Proven experience in project coordination, partner management, or financial administration.
  • Strong knowledge of Excel and SharePoint.
  • Excellent organizational, analytical, and communication skills.
  • Proactive and self-sufficient with strong attention to detail.
  • Able to manage deadlines and collaborate effectively in a team setting.
  • Fluent in English (professional proficiency) with good knowledge of Dutch (team is mainly Dutch-speaking).
Nice-to-Have Skills
  • Experience in digital or technology-driven environments.
  • Familiarity with internal reporting and finance processes.
  • Affinity with collaborative, people-centered team cultures.

What do we offer?

Location: Mechelen (hybrid, Thursday mandatory on-site)

Contract: Freelance or Permanent

Duration: 3 months (part-time, 50% FTE)
